The Week Before Your Wedding: A Photo Checklist

The week before your wedding has a way of filling up with things nobody warned you about. Here's a focused checklist for the two things this whole site is about: getting an accurate final headcount, and making sure your guest photos actually get collected.

RSVP and headcount

  • Confirm your final numbers with the caterer and venue. Do this early in the week, not the day before, so you have time to sort out any last-minute changes.
  • Chase your last few stragglers directly. By now it's usually a small, specific list. A short personal message beats another automated reminder at this point.
  • Double-check dietary requirements against your final list. If anyone updated an allergy or a meal choice late, make sure it actually made it to whoever's cooking.
  • Print or note down your final seating arrangement, if you're using one, based on confirmed numbers, not the guess you made a month ago.

Photos

  • Print your QR codes and test them yourself, on your own phone, before the day. A code that's too small, or placed somewhere with bad lighting, is a code nobody scans.
  • Decide where the codes actually go. Table cards, a sign near the entrance, the back of the order of service, near the bar. More placements, more scans.
  • Write a line for whoever's making announcements. A single sentence from the MC or best man, pointing people at the photo link, does more for participation than any amount of pre-wedding messaging.
  • Check your storage window and mark your calendar for it. Know exactly how long your event stays live and when you'll want to download everything, so it isn't a surprise later.

The day before

  • Do one final check of both links, RSVP (if still open for any late stragglers) and photo upload, from a phone, not a laptop, since that's how guests will actually use them.
  • Delegate one person to make the photo announcement, so it doesn't get forgotten in the chaos of the reception itself.
  • Take a breath. Everything on this list is the unglamorous, logistical layer underneath the day. Once it's set up, it mostly runs itself, and you get to actually be there.
